Chapter 1

First sign-in

Your admin already created your account. All you need is the email sitting in your inbox.

Your welcome email carries a temporary password. The first time you sign in, Calm Leave asks you to replace it with your own, and then you are in, no separate setup step.

Round out your profile with a photo and your timezone, and check which teams and squads you are in.

Lost the password?

There is no self-service reset. Your HR admin can reset it in seconds and hand you a new temporary one.

Chapter 2

Requesting time off

The request form never starts blank. It is already guessing what you want.

Calm Leave pre-selects the leave type you use most, or the one with the most balance left if you have no history yet, and the dates default to the next working day. For a typical request, the whole job is scan, adjust, submit.

A single-day request can be a first half or second half day instead of the full day. Add a note if context helps your approver, and some leave types ask for an attachment, like a doctor's note.

Chapter 3

The live verdict

You do not submit and wait to find out. You see the answer while you are still typing.

As you adjust type and dates, Calm Leave evaluates the request against your company's published policy rules and shows the verdict instantly: green Allowed, amber Allowed with warnings (you can still submit, approvers see the flags too), or red Blocked, with the exact rule spelled out.

The summary counts working days only, excluding weekends and holidays, and shows your balance after this request so there is no math to do. Blocked requests cannot be submitted; change the dates and the verdict updates as you type.

Chapter 4

After you submit

Everyone who needs to know finds out at the same moment, including you.

Your request goes to Pending, and every required approver gets an email with a one-click review link at the same moment, no chain of forwards. You get a confirmation immediately, and the moment the last approver acts, you get the result, with the reason attached if it was rejected. In-app notifications mirror every email.

Chapter 5

Changing your mind

Plans change. Calm Leave keeps your balance honest either way.

While a request is Pending, you can edit it: approvers are re-asked against the new dates and the policy check runs again, or you can withdraw it entirely. Once it is Approved, you can cancel it if your plans change.

Your balance always reflects reality, since pending and approved days are tracked separately and released the moment you withdraw or cancel.

Edit beats delete

Editing a pending request keeps its history in one place, instead of a confusing trail of withdrawn duplicates.
